THE SHORT ANSWER
Include the hosts or names, occasion, date, time, venue and a clear RSVP or contact route. Add the reply deadline, dress guidance or access information when guests need it. A designed invitation image is different from an invitation website with RSVP management. Sage’s invitation artwork starts at Ksh 1,199 per design.
Write the facts in one approved message first
Collect the exact names and preferred spelling, occasion, date, time and venue. If there is more than one event, state who is invited to which part and when each begins. Avoid relying on a decorative line to carry information guests need to act on.
Then add practical details that genuinely help: a reply deadline, dress guidance, parking or access notes and a named contact if appropriate. Keep the main invitation concise. A separate details card can carry a longer schedule.
Ask the people responsible for the occasion to approve this text before the layout begins. It is much easier to resolve a date or name once than correct several different versions after they have been shared.
Choose between an image, a PDF and a website
| Format | When it can help | What to clarify |
|---|---|---|
| Image for messaging | Quick sharing and simple event details | Phone readability and a clear contact route |
| PDF or print artwork | A stable document or printed stationery | Paper size, production settings and digital export |
| Invitation website | A longer schedule, maps or an RSVP process | Hosting, forms, guest data and a separate website scope |
An image does not automatically provide a guest list, attendance dashboard or working RSVP form. A request for those features belongs in a separate functional brief. Keep the service promise clear so you buy what you actually need.
If the invitation is printed, ask the printer for the correct file specification before export. A low-resolution image forwarded several times is not the same as the original print artwork.
Share enough detail without publishing private guest information
A forwarded invitation can reach people outside the intended group. Think about whether a private home address, personal phone number or access instruction should appear in the general artwork or be shared directly with confirmed guests.
Keep individual guest names and attendance responses out of public graphics. If a separate RSVP form is planned, decide what information is actually needed and who will have access to it. The design project itself does not require a public guest list.
Agree who may approve or distribute the invitation. That helps prevent an early version with unconfirmed details becoming the version everyone saves.
Test it on the smallest screen guests are likely to use
Open the final file on a phone at normal size. Check the date, time, location and reply instructions first. Script lettering can be attractive for a name but is usually a poor choice for a long address or practical instructions.
Make sure the key information is also available as readable text in the accompanying message. That gives guests a way to copy the address, search the venue or read the details without relying only on an image.
Ask someone unfamiliar with the plans to read it. Their questions are a useful final check, especially when several venues or activities are involved.
What the design enquiry should contain
Send the approved text, preferred style, colours if settled, output formats, required versions and deadline. Mention any names, languages or cultural details that need particular care. Provide examples as references rather than requests to copy another designer’s work.
Sage’s invitation design starts at Ksh 1,199. Confirm any matching pieces, language versions or functional website requirements separately. A style record from the first project can help future occasions feel consistent without repeating the same artwork.
A few more questions
Does a digital invitation include automated RSVP management?
Not automatically. Invitation artwork and an RSVP website are different deliverables. Specify forms, guest management and hosting if those are required.
Can one invitation be used for print and WhatsApp?
The design can be adapted for both. Agree the print specification and digital version so neither is produced from a compressed preview.
